Project Support Specialist (PSO)

Supervises and executes project plans focused on the delivery of external client products and solutions or fulfillment of internal business needs. Responsible for leading cross functional teams from project initiation through solution delivery, ensuring stated deliverables are met within time, quality and budget constraints. Works to remove barriers impeding project progress, escalating issues as required. Acquires human and material resources to satisfy project demands and delegates duties to project team members. Represents project team during leadership project reviews. Participates in the continuous improvement of project management standards, practices and tools.

JOB ROLE SUMMARY
Supervises and executes project plans focused on the delivery of external client products and solutions or fulfillment of internal business needs. Responsible for leading cross functional teams from project initiation through solution delivery, ensuring stated deliverables are met within time, quality and budget constraints. Works to remove barriers impeding project progress, escalating issues as required. Acquires human and material resources to satisfy project demands and delegates duties to project team members. Represents project team during leadership project reviews. Participates in the continuous improvement of project management standards, practices and tools.
DUTIES AND RESPONSIBILITIES
Oversees and analyzes project schedule development and maintenance; analyzes hours expended on project tasks. Coordinates schedules to meet project needs.
Initiating: Demonstrates an understanding of project management principles and the application thereof. Proficient in project management methodology and solution development methodologies.
Planning: Assists the project manager in Clarity knowledge, definition, organization, planning and building of project schedules to meet required project timeframes. Assist in analyzing proper resource allocation to the project.
Executing: Successfully managed parts of a project concurrently under the direction of a project manager. Coordinates, maintains status meeting minutes, tracks action items and updates project schedules; Audits project schedules for discrepancies, which may include: definitions, resource allocations, standard protocols, methods, procedures and processes; collects actual hour works expended on project tasks.
Monitoring/Controlling: Has effectively managed risks and issues for a moderately complex project under the direction of another project manager. Assists in the development and maintenance of the project schedule under the direction of a team leader or project manager. Analyzes project schedule development and maintenance; analyzes hours expended on project tasks. Coordinates schedules to meet project needs.
Closing: Assists the project manager in all close out activities. Responsible for close out documentation and archival. Close out activities to include but not limited to the following:
Transition to production o Post production support plans o Close out of project schedules o Completion of post project reviews (Lessons learned) o Team member reviews

SCOPE PLANNING: Assists the Project manager in identifying and describing major activities, tasks, and deliverables involved in assessing business requirements of a project. Assists with gathering input and preparing the project charter, constraints, assumptions and scope statement. Exhibits working knowledge of how changes in project scope are to be managed. Assists the Project Manager with conducting regular checks throughout the project (i.e., during testing) to ensure client requirements are met. Understands own business unit’s vision, goals, and priorities.
PROJECT INITIATION: Understands key project roles (e.g., sponsor, stakeholder, project team member, resource manager). Assists Project Manager with creating and maintaining project plans. Assists Project Manager with defining project activities (e.g., creates work breakdown structure). Works with Project Manager to ensures project controls are in place (e.g., status, issues management). May assist with the creation of project status reports.
TIME / COST MANAGEMENT: Has a basic understanding of how project management tools/techniques (e.g., PERT charts, critical path method, earned value) are utilized to track and manage project costs and schedules. Assists in ensuring projects remain on schedule and within time and cost constraints. Assists with development of time and cost estimates for project activities. Assists with the creation or maintenance of time and cost reports.
COMMUNICATION / ESCALATION MANAGEMENT: Demonstrates good verbal and written communication skills. Effectively manages the communication project status in accordance with documented EPMO guidelines under the direction of a project manager. Effectively participates in developing project presentations.
RISK / ISSUE MANAGEMENT: Works with Project Manager to gain an understanding of the risk and issues management process and techniques. Assists the Project Manager in capturing project risks and issues. Assists the Project Manager in tracking and reporting status on risks and issues via the appropriate tools (i.e., databases).
SUPERVISORY RESPONSIBILITIES
This position does not have direct reports but may mentor less experienced associates in the role.
