Provides administrative and clerical support to relieve department managers or staff of administrative details. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company.

Role and Responsibilities :

  • Primary role of this position is to support global leaders and executive assistants in creating requisitions, receipts/ GRNs and SRNs as directed on timely basis.
  • Obtain required details like cost centre, necessary approvals, detailed info on the product/services need
  • Initiate requests/requisitions for the requirement, and ensure that final deliverables meet stakeholders’ requirements
  • Coordinate with internal approver’s to ensure timely and quick approvals of the PO
  • Follow-up with Procurement Team/ Supplier,if needed, to ensure timely or quick delivery of the services/product as per the order placed with them
  • Verify supplier invoices for accuracy against the products
  • Obtain consensus from the stakeholders/ leaders of the delivery of services/products to process vendor invoices for payments as per standard terms & conditions agreed upon
  • Work with AP TEAM to ensure process follow-through
  • Receipting of invoices in workday as per standard process
  • Ensures positive working relationships with related support groups (Legal, Finance, EA’s, Procurement, AP/AR, etc.)
  • Works with internal stakeholders for medium/high-priority and/or simple projects with appropriate oversight from Hierarchy/Matrix Manager
  • Monthly dashboard reports on productivity for the month along with initiatives, process enhancements etc
  • All other tasks as assigned & directed on timely basis

Must have/be

  • Experience of Procurement function for 2-3 years
  • Excellent communication
  • Proficiency in Microsoft Office
  • Ability to work/coordinate effectively with all levels of the organization
  • Experience of using Any ERP system, knowledge of Workday ERP will be advantageous

Work Hours :

  • Monday to Friday – 0130 PM TO 1030 PM, IST
  • Should be open and flexible for time changeover incase of the business requirement, which can be 0500 PM to 0200 AM, IST
